We have immediate requirement of Admin Executive (Male).

Salary for Admin Executive (Male): up to 13K CTC

Working time - Male: Flexible to do day & night shifts for 9hrs 


RESPONSIBLE AREAS:

* Ensure smooth functioning of the front desk.
* Maintain database of daily visitors.
* Maintaining registers of inward and outward movements of stock.
* Managing flow of visitors and candidates who come for interview.
* Management of Petty cash provided for expenses.
* Maintaining database of inward outward mails or couriers.


RESPONSIBLE AREAS:

* House-keeping:
1. Handling house-keeping by ensuring effective cleanliness in the office premises.
2. Procuring and maintaining house-keeping materials.
3. Solving issues related to house-keeping and other resources.

* Support Staff & Executives Management:
1. Maintaining attendance registers of the support staff and leave-records of all Executives Admin & support staff.
2. Preparing Monthly Shift rosters for the Admin & Front desk executives and support staff.
3. Task allocation to the support staff as per the daily and the occasional requirements.
4. Management of the four Admin executives and support staff team of 35 office boys.
5. Provide training to Admin executives & support Staff team.

* Cafeteria Management:
1. Inventory Management of Cafeteria.
2. Preparing meal menu on weekly basis for 900+ employees.
3. Daily visit to Cafeteria prior to meal servings to taste the quality of meals.
4. Ensuring the availability of food and the hygiene.
5. Following up with the vendor on daily basis concerning the quality & quantity of food served.
6. Verification and co-ordination with the Finance team regarding the payments and purchase orders.

* Hospitality:
1. Tea/coffee and cookies set up for Clients/ Visitors / Guest.
2. Inventory Management of Hospitality items.

* Technical Assistance:
1. Setting up Projectors and necessary equipments on the events of trainings and conference calls.
2. Management and maintenance of Extension phone lines, EPABX System, Printers.
3. Preparation of Identity and Access Cards for new employees and existing employees (if any re issuance is requested).
4. Mike and Sound system set ups on events like town hall meetings and award distribution ceremonies.

* Assistance to the Human Resource Management team:
1. Conduct Orientation of newly joined employees to familiarize them with the administration policies of the company.
2. In collaboration with HR, organizing group parties/ picnic for employees.

* Infrastructure / Maintenance / Asset:
1. Procuring / Liasoning the AMC"s of electrical equipments with the vendor.
2. Coordination with Architects for the interior work undertaken.
3. Maintaining the asset record of the organization for personal as well as audit purpose.

* Transportation:
1. Management of transportation facility for the leadership team and process associates on daily basis.
2. To prepare the Annual contract / Affidavits for the yearly renewals.
3. Coordinating with The Finance Department for the billing cycle after verifying the invoices.

* Travel:
1. Coordinating travel arrangements for staff on work matters.
2. Maintaining the travel records in the system.
3. Managing the pick-up and drop-off arrangements for the employees / clients from airport / hotel.

* Miscellaneous:
1. Maintaining MIS & other reports of all kind of stock in the company.
2. Preparations of Purchase orders for various purchase made admin related.
3. As an active Admin member managing security services and handling CCTV camera.

* Events:
1. Organizing & coordinating company events like Annual Charity Walk, Annual Company Anniversary, Navratri Garba function, New Year Dance Party and Family Day celebration.

Candidates Desired Profile:
* Excellent communication skills ( both verbal and written)
* Excellent basic computer knowledge
* At least high school/diploma certificate
